Downtown Lexington Partnership (DLP): Finance and Office Manager

Organizational Background

The Downtown Lexington Partnership (DLP) is a newly formed non-profit, membership-based organization that resulted from merging the Downtown Lexington Corporation (DLC) and Lexington Downtown Development Authority (LDDA).  This merger was completed in the 4th quarter of 2017.  

As the new Downtown umbrella organization, the DLP provides a single point of contact and accountability and a coordinated approach to Downtown revitalization and management.  In its new role, DLP also manages the Downtown Lexington Management District (DLMD) on behalf of its board of directors. In total DLP works to strategically develop, manage and market Downtown.

Job Description

DLP is seeking a full-time Finance and Office Manager to manage the organization’s finances, human resources and office. The Finance and Office Manager will also provide general administrative support. Candidates must have a strong financial management background (preferably at a non-profit), prior office management experience, possess excellent verbal and written communication skills and have comfort managing IT contractors and office equipment.  In addition, candidates should be comfortable working in a fast-paced environment both individually and on a team, have excellent attention to detail and be invested in Downtown Lexington.

Job Requirements

Required Qualifications & Skills

  • Bachelor’s degree and 5 or more years’ experience in administrative/financial management roles.
  • General knowledge of non-profit accounting practices.
  • Excellent working knowledge of QuickBooks.
  • Knowledge of invoicing, check processing, bank deposits, and processing credit cards.
  • Ability to manage multiple bank accounts.
  • Ability to manage cash flow.
  • Ability to reconcile bank accounts.
  • Manage payroll and employee deductions.
  • Manage accounts payable and accounts receivable.
  • Prepare financials for monthly board reports for Downtown Lexington Partnership and Downtown Lexington Management District; attend board meetings and answer any questions regarding financial statements.
  • Prepare for yearly audit and work with auditors to provide needed information.
  • Filing financial records in an organized manner is a must.
  • Coordinate with President for budget management and forecasting.
  • Working knowledge of health, dental and retirement plans.
  • Knowledge of risk management, general liability insurance and worker’s comp.
  • Knowledge of PC software including Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Knowledge of multifunction copy machines, multi-line phone systems and fax machines.
  • Knowledge of general human resources management.
  • Ability to walk several downtown blocks at a time; ability to sit/stand for long periods of time.
  • Ability to lift up to 20 pounds.

Administrative Support Responsibilities

  • Maintain working knowledge of the functions of the organization and the roles staff play. Ability to communicate to callers/visitors those functions and put people in contact with the appropriate staff members or other organizations.
  • Maintain and schedule appointments for the President and/or other staff as requested; prepare travel arrangements as requested.
  • Manage DLP’s main email account; respond to inquiries as necessary and/or forward the messages to the appropriate staff person.
  • Serve as the key operator for phones, fax machine, printers/copiers, and technology, which includes ordering and maintaining supplies, and performing maintenance; contacting and coordinating IT support as needed.
  • Serve as the customer service representative at the office’s front desk; greet and assist guests.
  • Maintain stock of office supplies and order via phone, internet, or in-store as needed.
  • Open and sort mail among the appropriate staff members daily; sign for packages and coordinate shipments as necessary.
  • Work with LexPark and/or other entities to secure parking passes for staff and interns as needed.
  • Other responsibilities as may be assigned by President.

Events Support Staff Responsibilities

  • DLP plans and executes Lexington’s Fourth of July Festival therefore July 4th is a working day for DLP.
  • DLP plans and executes Lexington’s Official Tree Lighting Ceremony the day after Thanksgiving, therefore the day after Thanksgiving is a working day for DLP.
  • Other responsibilities as may be assigned by President.

General Information

  • Compensation will be commensurate with experience.
  • Full-time – Approximately 40 hours per week, plus event work as needed.
  • Benefits include: medical insurance, dental and vision coverage, 3% employer match retirement plan, partial cell phone reimbursement, paid time off, vacation time and parking.
  • Office hours are 8:00AM – 5:00PM, Monday through Friday.
